I redesigned the website for Assistify, my customer support and store management company for Shopify brands. In one evening, I went from "everything is wrong with this site" to 8 finished pages: a homepage, four service pages, About, Contact and Blog. What I love about it: • Clean, minimal layout with lots of white space, built on our own brand colors • Subtle animations: a live chat demo, an inbox that clears itself, a phone call that connects • Interactive sections, like a coverage-hours picker and a booking card • Plain, honest copy that actually explains what we do • Fully responsive on mobile It also gave me a developer-ready package with clean HTML, CSS and JavaScript, so the build can start right away. Class inquiries came in on WhatsApp at all hours, but staff could only reply during business hours, so by the time someone got a response, they had already booked elsewhere. On top of that, checking real time availability, confirming times, chasing no shows, and logging every booking by hand was quietly consuming hours that the team needed for actually running classes. The Solution I built an AI powered WhatsApp automation agent that takes over the entire class booking workflow from first message to post class follow up, cutting the manual work out of the process almost completely. The system combines the WhatsApp Business API, an n8n automation workflow, and a Google Gemini AI agent to run the studio's booking process end to end. How it works A member messages the studio's WhatsApp number with a question or booking request. The AI agent reads the message, understands intent, and checks the studio's real class schedule before replying, so every answer reflects actual availability instead of a generic response. It qualifies the lead by asking the right follow up questions (which class, which time, first time or returning member). Once confirmed, the booking is logged automatically to Google Sheets, the studio owner gets an instant confirmation message, and the member receives automated reminders 24 hours and 2 hours before class. If someone doesn't show up, the agent sends a no show follow up on its own, no manual chasing required. The Result The studio now handles every inquiry, reminder, and no show follow up in seconds, any time of day, checking real availability instead of guessing, and without adding staff hours or hiring extra front desk support. What used to take a staff member several hours a week now runs on autopilot, which means faster response times, fewer no shows, more classes booked instead of lost to slow replies, and a system that pays for itself many times over in reclaimed time and recovered bookings. What I built One large n8n system with a team of AI agents, each doing one job. Takes in new customers through a webhook and creates their record Generates a quote PDF and sends it to the customer Reads the customer's WhatsApp reply and understands what they want (approval, question, complaint, or call request) Replies in the customer's own language, German, English, or others Reminds staff when a device is waiting for parts Creates a pickup code and tells the customer when their device is ready Waits 7 days after a repair, then asks the customer for feedback Flags negative feedback as a complaint so the team can act fast The smart part Instead of one big confused bot, I used many small AI agents that each handle one clear task. This makes the system reliable and easy to fix. An intent classifier reads every message first and sends it to the right agent. Tech used n8n, Google Gemini, WhatsApp (Evolution API), Google Sheets, PDF Generator API, Gmail. A person reviews leads in the sheet first. This keeps the sending safe and avoids spam problems. It also has built-in error alerts, so if anything breaks, I get notified right away. Tech used n8n, Apollo, Firecrawl, Google Gemini, Google Sheets, IONOS email (SMTP and IMAP). Result A hands-off outreach engine that turns cold lead hunting into an automatic daily process, with a human in control of what goes out.
