Challenge: A global security and logistics company launched new subdomains for executive protection outreach but faced 100% Gmail Spam placement despite passing SPF/DKIM/DMARC authentication. Early tests showed Outlook was more lenient, but Gmail flagged messages due to inconsistent alignment, fake plain-text bodies (base64-encoded HTML mimicking phishing), heavy HTML signatures with multiple images/links, and cold sending without engagement history. This risked scaling their B2B campaigns safely.
Solution: I started with a comprehensive audit: Verified subdomain-level DMARC, regenerated DKIM keys, and rebuilt messages to true plain-text (≤120 words, 1 link, no images). Removed URL shorteners/UTMs, aligned signatures, and checked against block/black lists. Content was analyzed as well and besides plain text I suggested targeted USPs for each job title category.
Results: Inbox rates improved 28% in simulations, reputation rose from Low to Medium, spam complaints dropped 35% and unsubscribe rate dropped 50% due to right ICP targeting. Gmail moved from Spam to Promotions, then Inbox on reply-heavy threads. The client scaled outreach confidently, with a custom warm schedule and DNS copy-paste blocks for easy implementation.
