PetCare System | Veterinary Clinic Management

A veterinary clinic was drowning in phone calls. Every appointment, every follow-up, every vaccination reminder was handled manually. Pet owners had no way to check their animal's records without calling in. The clinic staff spent more time on admin than on actual care.

They came to me wanting a web platform that would give pet owners self-service access to bookings and records, while giving the clinic team a centralized dashboard to manage everything. The system needed to be simple enough for non-technical staff and trustworthy enough for medical data.

I mapped out the clinic's entire daily workflow during the research phase: how appointments get scheduled, what happens during a visit, how records are updated afterward, and where things fall through the cracks. The biggest insight was that pet owners and clinic staff needed completely different interfaces to the same data.

I wireframed 3 concepts. One was heavily pet-owner-facing, one was admin-first, and the third balanced both. The client chose the balanced approach, which became the foundation for development.

The booking system replaced the phone entirely. Pet owners select their pet, choose a service type, pick an available time slot, and confirm. The clinic's calendar updates in real time. No double bookings, no missed calls, no back-and-forth.

Every pet gets a complete digital profile. Breed, age, weight, allergies, medical history, and visit notes are all stored in one place. Pet owners can view their animal's records anytime. Vets can pull up the full history before a visit even starts.

The vaccination module tracks what's been given and what's coming up. Each vaccine is logged with the date, batch number, and administering vet. Upcoming vaccinations trigger automatic reminders so nothing gets missed.

The vet dashboard is the nerve center. Today's appointments, pending follow-ups, recent patient activity, and clinic-wide stats are all visible at a glance. Vets can click into any appointment to see the full context before the pet even walks in.

The clinic overview gives management a bird's-eye view. Total patients, appointment volume, revenue trends, and staff utilization. It's the screen the clinic owner checks every morning.

Staff accounts are role-based. Vets see patient data and medical tools. Receptionists see bookings and contact info. Managers see everything. Permissions are granular enough to keep sensitive data locked down.

The settings panel lets the clinic customize without a developer. Business hours, service types, notification preferences, and branding can all be adjusted from the admin.

The entire platform is fully responsive. Pet owners book from their phones. Vets check records on tablets between appointments. The layout adapts cleanly across every screen size.
