OPERATIONS OFFICER/ PROCUREMENT LEAD– Leader and coordinator of admin, procurement, and HR tasks with more than forty external stakeholders and more than thirty internal stakeholders
Successfully supported a total of not less than 4 (four) programs and improved the operations/ procurement department's work by confirming that up to 90% of the process is completed. The finance team completes the remaining 10% by processing payments. Stakeholders were regularly monitored and encouraged to comply with established guidelines, policies, and procedures.
During the procurement process, many parties and moving parts were involved. Hence, bridging and minimizing the communication gap between internal and external stakeholders regarding operational issues is necessary. Most of the time, the goal was to supervise and ensure that realistic deadlines were given to support tasks needed by teams from internal stakeholders and ensure proper liaison between the country office, the DC, and the Baltimore office.
Contributed and participated in finalizing the current global procurement policy and eventually training the rest of the Tanzania team (where the attendance was 100%) and any related changes. In addition, successfully facilitated yearly refresher training ensures successful compliance.
In fleet management, with assistance from my colleague, an electronic tracker tracking the frequency of vehicles' maintenance services, procurement activities, and fuel consumption was created. The approach made tracing, managing, or avoiding unnecessary costs or exceeding budgets easier. Furthermore, it meant that, with the appropriate amount of description and info in it, should physical documents have been misplaced, all would not be lost as there is a backup system.
Playing an active role in saving programs' procurement costs, including negotiating with vendors, so cost management is always a priority. This guarantees that when a final invoice is delivered, there's not more than a 10% variance (if any) from the original budgeted cost. Negotiating with vendors and ensuring we are cost-effective applies to all other procurements.
