Membership Workflow Consultation — Streamlining the Grant Offer Process

Challenge

Billy came to me frustrated by a messy member onboarding system. His organization’s members purchased access through an external platform that was out of their control. Once those lists came in, his team manually granted offers inside Kajabi - a tedious process that often created customer service issues and confusion for members.
The process wasn’t just inefficient; it was undermining the member experience. Billy needed a better workflow that would simplify onboarding, eliminate unnecessary steps, and create a smoother journey for both the admin team and their members.

Solution

During our consultation call, we walked through every part of the existing process and identified exactly where things were breaking down. After exploring several possible solutions, we realized that the “grant offer” function - the centerpiece of their old system - was unnecessary.
By removing that step entirely, we streamlined the entire workflow. I helped Billy reimagine the member journey from start to finish, ensuring new members could access their benefits quickly and without confusion.
This solution simplified internal operations, reduced manual work, and immediately improved the customer experience.
