Voice AI Reactivates 800 Cold Leads — 11% Re-Engaged
The Problem
An independent insurance agency had 800+ leads in their CRM that had gone cold over the past 12 months — people who had requested a quote but never converted. The agency had no bandwidth to call them manually, and email re-engagement campaigns had returned near-zero results.
The leads were sitting in the CRM doing nothing. Every month they went uncalled was money left on the table.
What I Built
Smart List Segmentation:
Filtered the 800+ contacts by lead age (90–365 days old), original source, and product type (auto, home, life) to build prioritized call lists. Contacts who had previously unsubscribed or marked as DNC were automatically excluded.
Voice AI Agent — "Alex":
Configured a GHL Voice AI outbound agent with a friendly, conversational persona. The script was engineered to:
Open with a personalized reference to their original inquiry
Ask a single qualifying question to surface current insurance need
Handle common objections (already covered, wrong time, not interested)
Transfer warm prospects live to an available agent
Log call outcome and update the contact record automatically
Campaign Logic:
Calls ran Tuesday–Thursday, 10 AM–6 PM local time only
Maximum 2 attempts per contact, spaced 3 days apart
Post-call: contact tagged by outcome (interested, not now, DNC, no answer)
"Not now" contacts entered a 30-day email nurture sequence automatically
Agent Handoff:
When a prospect indicated interest, the Voice AI said "Let me connect you with someone right now" and transferred the call live to the next available agent — no hold music, no callback scheduling.
The Result
11% of contacted leads re-engaged within the first 30 days
Live transfers converted at a significantly higher rate than inbound web leads
Zero manual dialing required from the agency team
"Not now" segment entered automated nurture — pipeline continues working
