We started with an in-depth consultation with the preschool management to uncover their pain points. Their off-the-shelf system wasn't cutting it, creating inefficiencies and stress in daily operations. Together, we identified the core issues of overcomplicated workflows, tedious manual processes, and a lack of personalisation.

We audited their existing workflows to map out bottlenecks and inefficiencies. This wasn't about replacing everything; it was about understanding what worked, what didn’t, and what could be improved. From managing registers and ratios to tracking progress and behaviours, we left no stone unturned in our mission to simplify and streamline.

Using Airtable as the database and Softr for the front end, we designed a brand-new management system tailored to their exact needs. For data collection and funding applications, we introduced Fillout forms to streamline processes. Every feature was custom-built, from automated alerts to parents to a management portal for the owner. The result? A system that feels intuitive, not intimidating.

We worked closely with the preschool team, inviting feedback at every stage of the project. Each iteration brought us closer to a solution that felt like theirs. Features like visual progress trackers for parents and staff and behaviour monitoring tools were honed to perfection, ensuring they fit seamlessly into daily routines.

A shiny new system isn’t much use without confidence to use it. We provided hands-on training to make sure staff felt empowered, not overwhelmed. From directors to key workers, everyone knew how to navigate the tools we created, ensuring a smooth transition to the new system.
