A records-optimization project for a regional medical center facing a backlog of unsorted physical charts and digital documentation. The goal was to restore order to the filing system, make records easier for staff to locate, and support more reliable day-to-day administrative workflows.
The challenge
The department was managing a high volume of physical medical charts alongside digital records. Slow document retrieval created bottlenecks for staff who needed access to patient files and operational schedules. Inconsistent data-entry and scheduling logs also created a risk of avoidable administrative delays.
My role
I independently reorganized the physical filing and digital documentation processes, with a focus on practical indexing, accurate record trails, and repeatable administrative checks.
What I delivered
Sorted and organized high-volume physical records into systematic, easy-to-navigate categories
Logged filing activity digitally to create a clearer record trail
Standardized data-entry and scheduling workflows with precision checks
Maintained the physical filing system alongside internal digital records-tracking processes
Built a more structured foundation for ongoing record retrieval and administration
Outcome
Over 70 service hours, I cleared the document backlog and established a more reliable administrative tracking system. The resulting framework supported faster file retrieval for medical staff, stronger day-to-day operational order, and an audit-ready filing structure.
Tools and systems
Microsoft 365: Excel and Word
Google Workspace: Google Sheets and Google Drive
Physical filing and indexing systems
Internal digital records-tracking databases
To protect confidentiality, the organization is referred to as a Regional Medical Center.
