Notion Workflow Consulting for ambitious entrepreneur's new project

Client Context

This client is a serial entrepreneur with multiple personal and professional commitments. They are relatively new to Notion, were feeling overwhelmed by the tool, and wanted a way to structure and prioritize upcoming studies while managing numerous ongoing projects.
Next to their multiple projects, this client will start studying a law degree later in 2025 and therefore needs a system to help them stay organized and on top of every task, project, and event related to their studies.

Challenges & Pain Points

Overwhelmed by Notion, unsure how to start organizing tasks and projects.
Needed a system to separate study-related activities from her other ongoing work.
Required a clear overview of tasks, events, projects, classes, exams, notes, and resources.
Wanted a flexible system that could grow with her workflow and priorities.

My Role & Approach

First, I conducted a scoping workshop to map the client's priorities, indispensable tasks, and areas suitable for delegation.
Next, I designed a fully custom and connected Notion template covering study periods (bimesters), courses, projects, tasks, classes, events, exams, notes, and resources.
The template also includes several custom views and filtered dashboards for both high-level overviews and detailed tracking of different items.
I refined the template iteratively based on two rounds of live and asynchronous feedback.
I applied user-centric design principles: this solution is specifically designed for her workflow, and I validated the interface and functionalities with them.

Deliverables & Outputs

Notion template tailored to her study and project management needs.
Customized and filtered views, linked databases, and quick capture buttons to support structured planning and easy navigation.
Each database included relevant templates, so that every new entry/page has a useful layout and displays relevant fields.

Results & Impact

The client now has a clear, structured system in Notion to manage her law degree studies alongside other commitments.
Saves time by avoiding setup from scratch and reduces cognitive load.
Can easily track tasks, deadlines, resources, and projects at both high-level and detailed views.
Gains confidence using Notion and can focus on execution rather than configuration and design.
