Fleexa is a fleet management platform designed for logistics and transportation companies. The Fleet Overview module is the platform's operational core a live dashboard where teams monitor every vehicle in the fleet, track driver assignments, and flag vehicles needing maintenance.

This case study documents the end-to-end design process for the Fleet module, from field research with real operators to the final shipped interface.

Most mid-sized logistics companies managed their fleets using a patchwork of tools: WhatsApp groups for driver coordination, manual Excel sheets for vehicle records, paper-based maintenance logs, and phone calls to check vehicle locations.

The result was systematic inefficiency, delayed incident responses, and no single source of truth for the operational state of the fleet.

I conducted 3-day field visits at two logistics warehouses in Cikarang and a transportation company in Tangerang. I shadowed and interviewed 10 participants across four critical roles. Each role had radically different relationships with vehicles and radically different pain points.

A unified fleet monitoring page with three key components:

Card View Visual layout that shows each vehicle with its image, plate number, brand, year, odometer, and assigned driver. Ideal for quick visual scanning during briefings.

List View Dense tabular layout for admin staff who need to manage large numbers of vehicles efficiently. Shows all key data columns at once with sortable rows.

Vehicle Detail A dedicated page per vehicle with live telemetry (odometer, fuel level, tyre pressure, last service), tabbed history sections (Work Orders, Service Reminders, Service History, Inspection History), and direct driver contact via call or chat.

Dual view toogle Different roles have different needs. Managers prefer the card view for overviews; admin staff prefer the list view for data work. Both views share the same status color system.

Three-state status Active, Maintenance, and Inactive. Simple enough for anyone to understand at a glance, with both a color dot and a text label for accessibility.

Persistent driver info The assigned driver is always visible no matter which tab you're on in the detail page, so you never have to navigate back to find a contact.
