TenantFlow:Property Maintenance & Work Order Management Platform
Connecting tenant requests, vendor coordination, and verified resolution in one workspace.
TenantFlow is a SaaS platform for property-management teams to manage maintenance requests, coordinate vendors, track work, and confirm that reported issues are resolved.
We built the platform with Next.js and FastAPI, connecting request intake, work-order management, scheduling, completion evidence, cost tracking, and tenant verification. The problem
Property maintenance involves multiple handoffs between tenants, managers, and vendors. When requests, updates, photos, and costs are scattered across messages and spreadsheets, teams struggle to track responsibility and establish whether work is truly complete.
TenantFlow was built to connect these steps and preserve a clear record from the initial report through final closure.
What I built
Property and contact management: Organize properties, units, tenants, and vendors within each organization.
Request intake and triage: Capture maintenance issues, review priorities, and convert requests into work orders.
Vendor coordination: Assign vendors, schedule visits, and track work through defined status transitions.
Evidence and cost tracking: Record completion notes, upload supporting files, and retain costs for each repair attempt.
Tenant verification: Allow tenants to confirm resolution or reopen unresolved issues while preserving previous work history.
Operational oversight: Provide dashboards, reports, search, notifications, role-based permissions, and audit history.
Engineering challenges
The core challenge was enforcing a maintenance workflow with multiple actors and repeated repair attempts. Backend transition rules distinguish vendor completion from tenant verification and managerial closure. Reopened work orders start a new completion cycle while retaining earlier evidence, costs, and verification records.
The platform also required strict separation between organizations and users. Organization-scoped queries and role-based authorization control access, with additional ownership and assignment checks for tenants and vendors. Evidence files are served through authenticated downloads. Maintaining consistency across the interface and API was another focus. Typed API clients, validated forms, and server-state management support the frontend, while PostgreSQL integration tests cover critical transitions, permission boundaries, and record preservation.
Delivered outcome
A deployed application that connects maintenance reporting with coordinated execution and verified resolution. Teams can move from an incoming request to an assigned work order, review completion evidence, and close the issue within the same workspace. Built as an independent portfolio product, TenantFlow demonstrates full-stack SaaS development across multi-tenant architecture, workflow modeling, secure file handling, audit trails, and production deployment.
