Lump-sum payments don’t match invoices. A client with 100,000 outstanding (across multiple invoices) sends 50,000, and it doesn’t belong to any single invoice which makes it hard to adjust payments across multiple invoices manually.

Custom products are untraceable. New products are built from existing items plus labor, packaging, and other costs, and when selling them, its hard to keep their item-to-item and expenses vs profit record across sales invoices.

Project profit is a guess. Invoices, expenses, and staff spending live in different places.

Problems surface too late. Overdue invoices and empty shelves are found during reconciliation, not when they happen.

General payments: Recorded once, then allocated across invoices as the client specifies or on FIFO basis. Balances and ledger stay accurate, and every entry traces back to the original payment.

Virtual products: Components and custom expenses link to the new item. Costs roll up into one price, and profit is calculated per item.

Project costing: Invoices link to a project, and assigned staff add expenses from their own accounts. Profit updates as entries are made.
