Overview

NeighborWorks Orange County (NWOC.org) is a nonprofit focused on homeownership education and community empowerment. Its event programming was growing — financial literacy webinars, homeownership workshops, community initiatives — but every email was assembled from scratch. Production was slow, formatting drifted between sends, and there was no reusable structure holding brand consistency across event types.
This was a first formal email system rather than a redesign.

Role

Email designer and ESP build. NWOC supplied brand guidelines; a partner PR agency supplied copy and content direction. I owned template architecture, responsive build, cross-client QA, and Mailchimp implementation.

The system

Built as interchangeable blocks so any event could be assembled from the same components without rebuilding layout:
Interchangeable hero — image with overlay text — carrying different event types
Structured event details block with fixed hierarchy
Reusable footer with organizational and social links
Merge tags for personalization
Accessibility in the base template: high contrast ratios, semantic markup, alt text on every image
Mobile-first throughout. The existing audience opened 60%+ on mobile, and dense event details are the first thing to clutter on a small screen.

Production and QA
Cross-client testing in Litmus and Email on Acid before every release
Compressed hero images with alt text fallbacks
Custom media queries tuned for email client rendering
Photography direction documented, since the client had a logo and palette but limited brand imagery
Outcome
Production time per send dropped from roughly 8 hours to 2 — a 75% reduction — and formatting held consistently across event types without per-send layout work.
What transferred
Modular architecture is what makes brand consistency survivable at volume. The constraint worth designing against isn't the best-case email — it's the twentieth one, produced quickly, by someone in a hurry.
