Creative agency client onboarding workflow map

Self-initiated mock-up using synthetic data. No client commissioned this work. All names, records, workflow inputs, and outcomes are simulated. This demonstrates the proposed process and deliverables, not a completed client engagement or measured business result.
A seven-step map for moving a creative-agency inquiry from an incomplete brief to an approval-aware, kickoff-ready handoff.
THE WORKFLOW PROBLEM
In this mock-up, intake details arrive across separate synthetic artifacts and access readiness is checked late. That can make the handoff from a promising inquiry to an actual kickoff difficult to inspect. The source fixture does not establish how often this occurs or whether it causes delay.
WHAT I MAPPED
Capture accepted inquiry.
Collect structured brief.
Review fit and constraints.
Align scope and roles.
Record owner approval.
Confirm access readiness.
Schedule kickoff.
Primary flow: Inquiry -> Brief -> Fit review -> Scope and roles -> Human approval -> Access readiness -> Kickoff
Exception flow: Brief incomplete -> Return for missing inputs -> Recheck
Decision flow: Fit or scope not approved -> Stop or revise outside this map
HANDOFF DESIGN
Inquiry to brief: Required fields are complete or incomplete. The agency lead decides whether review starts.
Fit review to scope: Constraints and open questions are visible. The owner decides whether fit and scope proceed.
Scope to access: Role ownership is recorded. No credential value enters the map.
Access to kickoff: Readiness is complete or blocked. Kickoff scheduling follows recorded approval.
These roles and states are mock-up design choices, not observations from a real agency.
TARGET ACCEPTANCE CONDITIONS
Required brief fields have a visible completeness state.
Scope and role ownership are recorded before access collection.
Kickoff is scheduled only after owner approval and access readiness.
OUTCOME BOUNDARY
This example demonstrates a structured onboarding map. It does not show a real client, signed engagement, credential collection, faster kickoff, increased conversion, reduced rework, implementation, or measured business result.
