Live Webinar Launch Workflow

Here is a sample of a workflow for a product to be launched during a live webinar. An email sequence will fire once someone signs up for the webinar, and throughout the 7-day “open cart” period where attendees can purchase the product.

My Role

As a systems manager, my role is to bring clarity to the client’s webinar launch and email sequence by structuring the process into a visual workflow. This includes:
Translating the launch strategy into an actionable flowchart that breaks down each phase—from sign-up to post-webinar follow-ups—so the client sees the full picture.
Mapping out the email sequence in a clear and logical order, ensuring timely engagement and nurturing of leads before, during, and after the webinar.
Identifying potential gaps or inefficiencies in the funnel and proactively addressing them before execution.
Aligning the team (copywriters, designers, tech VA) by assigning tasks based on the flowchart, ensuring seamless execution.

Goals

Simplify Decision-Making for the Client by presenting the launch as a clear workflow rather than scattered tasks or ideas.
Ensure Strategic Email Timing so leads receive the right messages at the right time, increasing conversions.
Create a Repeatable System that can be used for future launches with minimal adjustments.
Minimize Miscommunication by giving the team a structured roadmap to follow, reducing back-and-forth discussions.

Expected Results

Time Savings for the Client: A structured workflow eliminates confusion, reducing planning time by 50% or more compared to an unstructured approach.
Reduced Risk: The visual flowchart ensures nothing is overlooked, preventing costly mistakes like missing email triggers or launch misalignment.
Cost of DIY Approach: Without this level of clarity, the client may need additional project management support, pay extra VA hours, or risk lower conversion rates due to missed touchpoints.
Higher Efficiency for the Team: A well-defined launch plan means fewer revisions, faster execution, and better collaboration—ensuring a smoother experience for the client and their audience.
