Optimizing a Marketing Agency's Social Media Management Processes for Client Retention

Goal & Overview

I worked with the agency founder, the social media manager, and the marketing assistant to turn their social media creation process into a repeatable monthly system.
This agency used Google Workspace as a cloud file storage system, ClickUp as a task management system, and Metricool for social media posting.
At the end of the process update, we were able to reduce the agency founder's involvement in social media creation by delegating more of the social media tasks to the social media manager and the virtual assistant. We were also able to post consistently and AHEAD of schedule, freeing up the agency founder and the virtual assistant to better accommodate URGENT tasks and priorities.

From the core SOP Google doc, I created a reusable task (with subtasks) in ClickUp for monthly social media development and posting.

Results

The results of this updated process were:
The agency founder was able to spend an extra hour each week on revenue-generating activities with a templated, reusable process and delegated tasks.
The marketing team was able to better analyze content and make data-driven adjustments for the upcoming month instead of relying on feelings and vibes alone.
Social media posts went from a chaotic drop-everything-and-do-this task to a task that ensured quality posts while also giving the team time to prioritize urgent client work.
The team was able to better follow set SOPs because they were easily accessible throughout the process.
Social media-related quality assurance issues decreased by 60% month-to-month.
