MedX: Modernizing the daily operations of a private clinic

About MedX is a private radiology clinic serving more than 50 appointments every day with a team of 10+ employees.

For years, much of the clinic's day-to-day operation depended on a legacy system that had been running for more than 15 years. As the clinic grew, MedX needed more than a software upgrade. They needed a technology partner capable of understanding how the clinic actually works and rebuilding the infrastructure around those workflows.

We partnered with MedX to design, develop, migrate and support a custom clinic management ecosystem covering the complete patient journey, from booking an appointment to receiving examination results.

The Challenge MedX had been relying on the same system for more than 15 years, which meant replacing it was not simply a matter of building a new application. The existing platform contained years of patient records and operational data, much of it stored in structures that were never designed with a future migration in mind. At the same time, the clinic needed to continue operating normally throughout the transition.

Usability was just as important as the technical side. The platform is used every day by receptionists, technicians and doctors, often while dealing with dozens of appointments at the same time. The new system therefore had to be modern, but also extremely simple to learn and fast to use.

We needed to understand how patients move through the clinic, preserve 15 years of history and introduce a completely new system without disrupting the way the team works.

The Solution We started by mapping the complete patient journey through MedX, from reception and appointment management through examination, reporting and delivery of results. Based on those workflows, we designed and developed a custom internal platform for managing patients, appointments, examinations, results and day-to-day clinic operations, including POS integration.

We also digitized workflows that previously relied on paper. For first-time patient onboarding and examinations such as MRI and CT scans, we developed a tablet-based consent and signature process. Patients can review and sign the required documentation directly at the clinic, after which the system generates the completed PDF, embeds the signature and creates a unique cryptographic fingerprint for the signed document before storing it against the patient's record.

Outside the internal system, we built an online booking experience, a patient portal for accessing previous results and history, and a mobile application that helps clinic staff manage appointment-related operations away from their workstations. One of the most critical parts of the project was the migration itself. We cleaned, mapped and transferred 15 years of legacy patient data into the new infrastructure while preserving the historical information the clinic depended on. Today, the platform supports MedX's operations end to end, and we continue to work with the clinic as the system evolves.
