Custom Notion System for Software Development That Connected an Entire Company
One message from Ash, the co-founder of Kenshi Security, turned into one of the most challenging Notion projects I’ve worked on. They were looking for a Custom Notion System for Software Development that could bring every part of their growing company into one organized workspace.
Kenshi Security develops AI-powered technical intelligence for DevOps, SecOps, and gaming. Their platform connects cloud providers like AWS, Google Cloud, Microsoft Azure, and Oracle, giving engineering teams a unified view of complex infrastructure. As the company continued to grow, managing engineering, marketing, business operations, and investor updates across multiple tools became increasingly difficult.
Ash wanted one system where every team could work together without switching between countless applications.
Turning Complex Requirements Into One Organized Workspace
Before opening Notion, we spent time discussing how every department worked. Engineering relied heavily on GitHub activity. Marketing managed campaigns and outreach in separate tools. Leadership needed KPI reporting, investor updates, meeting notes, and roadmap planning in one place. Instead of building isolated workspaces, I designed a Notion business operating system that connected every department through a single dashboard.
The goal was simple. Everyone should have visibility into the information they need while leadership could instantly understand the overall health of the business.
Building a Custom Notion System for Software Development
The engineering workspace became the heart of the system.
It included:
Product feature management
Bug and issue tracker
Commit tracker
Developer performance tracking
Rather than asking developers to enter information manually, I built GitHub to Notion automation using Make.com.
Every new commit, bug report, and development update automatically appeared inside Notion. This removed repetitive work while ensuring the data stayed accurate and up to date.
The business side of the workspace focused on leadership.
A dedicated KPI dashboard tracked:
Candidate pipeline
Investor updates
Meeting notes
Strategic roadmaps
Business planning
Marketing received its own command center with campaign tracking, content planning, LinkedIn outreach, and a sales CRM, making collaboration much easier across the entire company.
Everything rolled into one executive dashboard that connected engineering, marketing, and business performance in real time.
Collaboration That Refined Every Detail
Projects like this rarely come together in a single version.
Over the course of two weeks, Ash and I worked closely through multiple review sessions. Small adjustments to database structures, dashboard layouts, and workflows made a significant difference in how quickly each team could find information.
Every revision brought the workspace closer to the way Kensai actually operated rather than forcing the company to adapt to a generic system.
That collaborative approach made the final product feel natural from day one.
Delivering a Workspace Built Around the Business
Once the automation, databases, dashboards, and relationships were complete, the entire system was ready for handoff.
The client was extremely happy with the final result.
Instead of juggling multiple disconnected tools, the team could now monitor software development, business operations, marketing performance, and company goals from one organized workspace.
The GitHub automation ensured developers spent less time updating databases and more time building products, while leadership gained complete visibility across every department.
