I Centralized Your World Education Lab’s Operations in Notion

In January 2026, Elsa, the founder of Your World Education Lab, came to me with a challenge. Her team was helping international students plan their academic and career journeys, but as the business grew, things started getting scattered.
Student progress, documents, team tasks, sales activities, marketing plans, and finances were all living in different places. The team was spending too much time searching for information and keeping everything in sync.
After a discovery call, I mapped out the entire workflow and built a complete Notion Operating System around the way the business already worked.
Students got their own portal where they could track progress, upload documents, complete onboarding modules, and leave feedback. Behind the scenes, the team received dedicated dashboards for operations, sales, marketing, and finance, all connected to a central dashboard for leadership.
What used to require multiple tools and constant follow-ups could now be managed from one workspace. Elsa could see student journeys, team workloads, sales pipelines, marketing activities, invoices, and key business updates without jumping between platforms.
To make onboarding easy, I also recorded a walkthrough video showing the team exactly how to use the system in their day-to-day work.
The result was one organized workspace that gave the team more clarity, better visibility, and a smoother experience for both staff and students.
