Taking Qubittron to New York: 30+ MQLs from FATE 2025

Full-scope event marketing ownership for Qubittron's debut at the Finance and Accounting Technology Expo, Javits Center, New York City. From pre-event coordination and booth design to live social coverage and post-event follow-up, every touchpoint was planned and executed to generate real pipeline.
Event - FATE 2025, NYC
Date - Nov 13–14, 2025
Venue - Javits Center
Role - Account Owner for all Communication and Marketing related activities

The challenge

A startup's first major trade show, with everything to prove

FATE 2025 brought together thousands of senior finance professionals and technology leaders at the Javits Center. For Qubittron, a growing startup in the enterprise AI and SAP space, this was a high-stakes opportunity to establish credibility, generate pipeline, and put their QUBI Enterprise AI Suite in front of the right decision-makers. The challenge was making a startup-sized presence feel enterprise-grade, and converting booth visitors into real leads.

The approach

Every detail owned, from the first email to the last scan

I managed the full marketing lifecycle of the event. Pre-event, that meant coordinating logistics, designing all booth assets (tabletop displays, backdrop screen, collateral), writing the AI Readiness Playbook for Finance Leaders distributed at the booth, briefing and equipping the sales team, and pitching a press release to EIN Presswire to build pre-event visibility. On the day, I handled live social media coverage, coordinated presenter communications, and ensured the team had everything they needed to run demos and sessions. Post-event, I managed follow-up communications and tracked the leads generated.

Pre-event - Booth design, asset creation, playbook writing, press release, sales team briefing, logistics coordination
Content created - AI Readiness Playbook, LinkedIn posts, press release on EIN Presswire, brochures, booth visuals, sales enablement materials
During event - Social media coverage, presenter coordination, and real-time content
Post-event - Lead tracking, follow-up communications with mailers on hubspot, performance review

Results

Real pipeline from a two-day event

30+

MQLs generated from booth interactions and assessment link scans

Press release secured on EIN Presswire pre-event

30%

Boost in traffic
The 30+ MQLs came from visitors who scanned the mobile AI Readiness Assessment link at the booth, providing a measurable, trackable signal of genuine interest. For a startup at its first major trade show, converting that volume of qualified leads in two days was a strong validation of the event strategy and booth execution.
