I built a Project Management Hub in Notion to run projects from brief to retrospective in one calm, minimalist workspace. It's for sale on Gumroad, but I'm sharing it for free with the Contra community.
It includes a guide, project brief, dashboard, weekly planner and review, plus 7 linked databases (tasks, phases, team, budget, risks and more). A sample project shows how everything connects.
When a client asks for an extra deliverable, compare three options before starting:
Keep the agreed scope and defer the request
Add it, with the fee and timing changes written down
Swap or reduce another deliverable, with the tradeoff made clear
First check the original agreement. A correction to work that misses agreed acceptance criteria shouldn't automatically become extra scope.
Then record the exact option, version and authorized decision before updating the plan.
The Project Scope Change Control Kit puts this workflow into an editable Word packet, an Excel tracker and printable PDFs, with a fictional completed example. The request and decision pages are shown here.
Operational templates; your existing agreement and approval process still control.
A team can have spare hours overall while one person is already overloaded.
Before committing to another deliverable, check the week person by person:
Start with available hours, then deduct leave, fixed work and a reserve buffer
Count every committed task, including work that is currently blocked
Compare each owner's remaining hours, then agree what to keep, reduce, move or defer
If you reassign work, check the new owner's skills, context and handoff effort. Spare hours alone don't make a handoff workable.
These are two actual worksheets from the Weekly Team Capacity Planning Kit. It includes an editable Word packet, an Excel formula tracker, printable PDFs, a fictional completed example and a Quick Start. The workbook supports 20 people or roles and 100 work items for one week.
Use it to discuss commitments and constraints; estimated hours alone aren't a measure of someone's performance.
