A sports licensing company was manually processing 50–100 Zendesk tickets per week, spending up to 20 hours on repetitive classification and tagging. The obvious idea was to use an LLM. We chose not to. Licensing errors carry financial risk, and the data followed clear patterns. Instead of adding AI complexity, we built a deterministic rule-based pipeline with regex and API automation. Result: 15 hours saved weekly ($29K/year) with zero classification variance. AI is powerful — but only after process architecture is solid.
