Most contact forms treat every submission the exact same way, whether someone is just reaching out with a routine question or dealing with a time-sensitive issue. I set up a system in Make to automatically sort and handle incoming requests based on priority.
Here is how the logic works:
Capture and Log: Tally catches new form submissions and logs all the entries directly into Google Sheets.
Smart Routing: A router evaluates the content of the submission for specific intent signals like "urgent" or "emergency."
Standard Inquiries: General questions follow the fallback route, triggering a clean confirmation email so the sender knows their message was received.
Urgent Requests: High-priority inquiries are routed to Google Gemini AI, which analyzes the query, drafts an immediate context-aware response, and sends it out through Gmail. I also added a retry module on this branch to handle any unexpected API errors smoothly.
This setup prevents high-priority leads and urgent requests from sitting unaddressed in a crowded inbox, all without requiring 24/7 manual oversight.
