A roofing company managed every lead and proposal in Roofr CRM, but the crew planned work in Trello. Someone had to copy each job across and chase every customer by hand. I connected the two with Zapier so the board updates itself and follow-ups go out on time.
The challenge
New leads were missed or entered twice, Trello cards fell out of date as proposals moved, and follow-up emails depended on someone remembering to send them.
What I built
New lead to card. Every new Roofr lead creates a Trello card with the customer's details mapped into the right fields
Proposal sent. The matching card is found and moved to the Proposal Sent list automatically
Proposal signed. The card moves to the signed stage and the team is notified
Delayed follow-up. When a card sits in a stage, Zapier waits and then sends a follow-up email through Gmail
Testing. Every step was tested with real records before handover
Tech stack
Zapier, Roofr CRM, Trello and Gmail.
Outcome
The Trello board now mirrors the CRM without anyone copying data. Leads are no longer missed, cards always show the real stage of each job, and customers get follow-ups on time.

Synced a roofing company's Roofr CRM to Trello with Zapier: new leads become cards, proposals move stages and follow-up emails send on their own. Tested.
