Project Overview A UK-based property management firm faced challenges with disconnected systems: Fixflo, SME, and Asana operated in silos, requiring manual updates across multiple platforms, creating inefficiencies and potential errors.

The Challenge

Disconnected Systems: No communication between Fixflo, SME, and Asana

Repetitive Manual Tasks: Manual invoice processing and tracking

Time-Consuming Processes: Slow landlord deductions and tenant communications

The Solution

Using n8n and Supabase on Microsoft Azure, I created an automation framework:

1. End-to-End Invoice Automation

Webhook triggers workflow when contractor submits invoice

Validates invoices against Supabase

Automatically adds approved invoices to SME

Creates pre-filled approval tasks in Asana

2. Landlord Deduction Automation

Automatic calculation and application of deductions in SME

Cross-system synchronisation of deduction details

3. Tenant Communication and Task Management

Custom Asana app for property searches, email generation, and task creation

Dynamic forms to speed up processes

4. Real-Time Data Synchronisation

Supabase as centralised data source

Periodic synchronisation between SME and Supabase

Custom error handling with staff notifications
