Catch-Up and Cleanup with Link My Books for a Canada-based Shopify Seller, August to October 2025
Overview
I completed a full bookkeeping catch-up and cleanup in Xero for a Canada-based Shopify seller specializing in kitchenware products. The project covered August to October 2025 and had one goal: accurate financial reporting and clean books that are ready for month-end review.
The work had three parts: cleaning up and reconciling the bank account and credit card, validating that Shopify sales flow correctly into Xero through Link My Books, and recording supplier bills item by item with the correct Canadian GST/HST tax codes.
My Role
I handled the project end to end: cleaning the bank and credit card records, reviewing the Link My Books integration, entering bills, and checking the Profit & Loss and Balance Sheet before handing the books back.

The Work Completed
Bank & Credit Card Cleanup and Reconciliation
• Worked with one business bank account and one business credit card.
• Identified and removed duplicate transactions.
• Uploaded missing credit card transactions through CSV import.
• Corrected incorrect categories and matched every entry properly.
• Reached 100% reconciliation for August to October 2025.
Shopify to Xero Integration (Link My Books)
• Reviewed and validated the Link My Books integration.
• Confirmed all Shopify payouts were imported as accurate Xero invoices.
• Checked the correct posting of sales, payment gateway fees, refunds and Shopify charges.
• Matched all imported invoices to the corresponding bank deposits.
Bills & Expense Recording (Item-Based)
• Entered supplier bills item by item for accurate COGS and inventory tracking.
• Assigned the correct GST/HST tax codes as required in Canada.
• Structured purchases into the proper accounts: Inventory, Shipping, Packaging and Supplies.
Financial Accuracy Check
• Cleaned up the ledgers for the whole project period.
• Verified that the Profit & Loss and Balance Sheet agree.
• Prepared the books for tax filing and future reporting.

Client Outcome
The client received clean, accurate books for August to October 2025 with no duplicate or missing transactions, and full bank and credit card reconciliation. Shopify sales are reported correctly through Link My Books, giving a clearer view of margins, expenses and profitability, and the books are organized and ready for month-end review.
