Monthly Bookkeeping and HoneyBooks Reconciliation in QuickBooks Online

Overview

I provide ongoing monthly bookkeeping for a US film and media production company that uses HoneyBooks to manage client payments and QuickBooks Online as its accounting system. Each month the books are reconciled from bank statements, HoneyBooks payment reports and the QuickBooks registers, and then reviewed before the financial reports are delivered.
The key part of this engagement is making sure the sales, discounts and fees reported by HoneyBooks agree with what is recorded in QuickBooks Online. Where the two do not agree, I create an adjusting journal so the books reflect the HoneyBooks reports.

My Role

I handle the full monthly cycle: collecting bank statements and HoneyBooks payment reports, reviewing the bank feed, reconciling HoneyBooks activity, reviewing accounts receivable and payments to deposit, reviewing the financial statements, reconciling every bank and credit card account, and submitting the final reports to the client.

The Monthly Workflow

Collect Reports • Collect the bank statements and the HoneyBooks payment reports for the month.
Bank Feed Review & Queries • Categorize, match and transfer transactions from the QuickBooks bank feed review. • Send queries to the client on unclear transactions and resolve them. • Check and match every bank register against the bank statement.
HoneyBooks Reconciliation • Review the HoneyBooks report and match sales, discounts and fees to QuickBooks. • Create a HoneyBooks adjusting journal from the reports where any discrepancies are found.
Receivables & Deposits • Review the Accounts Receivable (A/R) register. • Review the Payments to Deposit register.
Financial Statement Review • Review the Balance Sheet and the Profit & Loss statement for accuracy and unusual balances.
Final Reconciliation & Reporting • Run the final reconciliation for every bank and credit card account. • Run the financial reports and submit them to the client.

Result

The client receives a consistent month-end process that ties bank activity and HoneyBooks payment data back to QuickBooks Online. Sales, discounts and fees are matched to the HoneyBooks reports, receivables and payments to deposit are reviewed, and every account is reconciled before the financial reports are submitted.
