Document Automation for a 22-Staff Conveyancing Firm

The challenge

A 22-staff conveyancing law firm in Malaysia was drafting sale and purchase agreements, tenancy agreements, and routine letters by hand. Every document meant senior time spent on repetitive work, and wording drifted between fee earners.

What I built

SPA Generator for sale and purchase agreements
Tenancy Agreement Generator for residential and commercial tenancies
Letter Generator covering 15 letter types across four groups: bank and financier, client, developer and government, and firm correspondence
How a matter moves through the system: spreadsheet in, finished legal document out

The clause bank

The centerpiece is an Excel clause bank. Approved legal wording, placeholders, and trigger rules live in a spreadsheet, not in code. The firm adds a new letter type by filling in a row, with no developer involved. Lawyers work where they are already comfortable, and finished Word documents come out the other side. Drafting that used to take hours of careful copy work now starts from a filled-in spreadsheet.
What one clause looks like inside the bank: a governed record, not a Word file

Delivery

Shaped for a non-technical team: Windows one-click launch, desktop apps anyone at the firm can run, and firm details entered once then auto-filled everywhere. Six iterative releases went out over 18 days, each with user guides, and the system is now in daily production on the firm's matters.
The system at a glance: 3 document systems, 15 letter types, 6 releases in 18 days, 0 code to add a letter

What came next

The engagement is multi-layer: the document engine first, a Microsoft 365 integration layer as part of the wider roadmap, and a reserved AI-assisted drafting layer to follow once the firm's clause bank matures.
