The FINAC web app transforms manual accounting processes into a seamless digital experience, enhancing efficiency and accuracy. With an intuitive interface, it simplifies financial workflows, reduces errors, and minimizes manual effort. By streamlining bookkeeping, invoicing, and reporting, the platform helps businesses save time and operate more effectively.

As Head of Design for Finac, I played a key role in transforming manual accounting into a seamless web app. My responsibilities included:

Understanding Problem

The goal was to deeply understand the challenges faced by accounting teams and business owners in managing financial tasks manually through excels and pdfs.
This included identifying pain points in invoicing, reporting, and tax filing, as well as spotting inefficiencies in repetitive tasks. We assessed error-prone areas such as data entry, reconciliation, and expense tracking while gathering expectations for automation, reporting, and system integration. Additionally, we explored compliance challenges in tax calculations and invoicing, along with workforce management issues like tax deadlines and performance tracking.

User Research : Qualitative Interviews

User research was quintessential. The complex workflows of the multiple user types and their interactions with one another needed to be laid out in detail. In order to achieve that, I gathered as much as I could from the end users to understand the challenges they face and how they see the app making a difference in optimising pain areas.

Pain Points

Managing team efficiency : Leading a team of 500+ accountants using manual processes creates coordination challenges, making it difficult to optimize workflows and ensure consistent productivity.
Poor collaboration across departments : The absence of a centralized system for tracking financial data leads to fragmented information, slowing down cross-functional collaboration.
Timely delivery of financial reports : Manual bookkeeping and invoicing processes lead to delays in generating accurate financial reports, impacting decision-making and business operations.
Ensuring compliance : Manual processes create a high risk of missing compliance requirements or making errors, leading to potential legal and financial penalties.
Meeting tax deadlines : With manual systems in place, it becomes increasingly difficult to meet crucial tax deadlines on time, risking late fees and compliance issues.
High error rates : Manual data entry and reconciliation result in frequent errors, creating a need for additional oversight and correction by senior staff, increasing workload and time spent on reviews.

Expense Module

To streamline financial processes, I designed a user-friendly invoice submission feature that allows users to raise invoices for trip or business-related expenses and request reimbursements seamlessly.

Key Features & Improvements:

Easy Invoice Creation – Users can quickly generate invoices by entering trip details, expense categories, and receipts.
Document Upload – Allows attaching supporting files (bills, receipts) for verification.
Automated Approval Flow – Ensures faster processing with a structured review and approval system.
Real-time Status Tracking – Users can track their reimbursement status, from submission to approval and payout.
By integrating this feature, the website enhances financial transparency, reduces manual effort, and speeds up the reimbursement process, improving the overall user experience.

Things to Do – Automated Task Management

The Things to Do feature is an automated to-do list designed to help employees stay on top of their tasks and complete their work on time. This smart dashboard provides a clear, structured view of all pending, in-progress, and completed tasks, ensuring a seamless end-to-end workflow in Finac.

Key Highlights:

Automated Task Allocation – Employees receive system-generated tasks based on their roles and ongoing projects.
Actionable Workflow – Each task is linked to relevant modules, allowing employees to take action directly from the dashboard.
Reminders & Notifications – Automated alerts keep users informed about upcoming deadlines and overdue tasks.
Collaboration & Accountability – Managers can track task progress and reassign work when necessary.
