Summary

I created a process providing automated application synchronization between the recruitment agency and the client (both using JIRA).

Problem at hand

Both parties were using JIRA recruitment workflows for their processing of application but new candidates were sent by the agency to the client via email (incl. all the data). The data had to be manually entered in the client's system and progress update from client to the agency was via email or call.

Solution

Each time applicant was moved to a certain stage in the recruitment agency's process, all the applicant data was synced to the client automatically without any manual intervention. Daily updates on the client side were synced back to the agency, so data flowed effortlessly, keeping both parties aligned.

Details about the automation

Applicant registration

• The agency only needs to create applicant only once to their system, and the data is synced automatically to the client.

• The client doesn't have to manually enter new applicant to their system. The task created by recruitment agency is assigned to particular client's employee for further processing.

Application synchronization

• Updates from the client to recruitment agency are synced once a day, eliminating the need for calls or emails between client and agency about applicant progress.
