I built a full automation system using Zapier + Airtable to help a medical practitioner manage patients, appointments, tasks, and weekly reports — without any manual work. The workflow automatically syncs calendar events, organizes patient information, links appointments to the correct patient, and sends a weekly summary email with all upcoming activities.

Connected Google Calendar to Airtable.

Every new or updated appointment automatically creates or updates a record in the Appointments table.

If the patient already exists, the system links the appointment to the correct patient.

I configured a fallback “Create Record if Not Found” to avoid missing entries.

Key result: The client no longer needs to manually type appointments — everything updates live.

Patients on the calendar appear as “First L.” or different name formats. So I created a name-cleaning and matching system that:

Removes periods

Standardizes name formatting

Searches Airtable for the patient

Links the appointment correctly

Key result: Zero broken links between appointments and patient profiles.

A scheduled Zap runs every week and sends the client a full report:

Monthly revenue: Projected vs Actual

The email is generated automatically using Formatter + Gmail, formatted cleanly for quick reading.

Key result: The client gets a full weekly performance report without lifting a finger.
