Role: Lead to Order Automation Architect and Integration Specialist
Project goal The client was overwhelmed by the volume and variety of emails received from different types of clients and request types, making it challenging to process these emails manually. They needed a way to automatically categorize and respond to these emails to create offers, orders, and tickets for complaints in their CRM systems, including SAP and Hubspot, without manual intervention.
Solution The automation solution I architected and implemented was multifaceted, designed to address the client's need for processing a wide range of email requests automatically, with actions across several systems based on the email content. The process begins when an email is received, triggering the Make.com automation sequence, which is integrated with the OpenAI GPT-4 API for initial email processing. Here's a breakdown of the sophisticated workflow:
1- Email Categorization: Upon receipt, each email is analyzed by the OpenAI GPT-4 API to determine its nature—whether it's a Complaint, Request for Information, Request for Quotation, or Order Confirmation. This step involves natural language processing to accurately understand and categorize the email content as well as generating a JSON array with predefined variables.
2- Data Processing and Routing: Depending on the email's category, the system directs the request and the JSON data to the appropriate processing path. This involves several specialized software tools:
For Complaints: Emails are routed to HubSpot, where complaint tickets are automatically generated.
For Quotations and Orders: The system interfaces with SAP for inventory checks and order processing, and with HubSpot for generating and sending quotations.
For Information Requests: A machine learning-trained AI assistant crafts and sends responses directly to leads, utilizing email automation tools for personalized communication.
OCR Technology: For emails with attachments, OCR (Optical Character Recognition) technology is employed to extract and process text data, ensuring that important information contained in attachments is not overlooked.
Integration with Microsoft Power Automate: For actions requiring desktop workflows on the client's side, such as generating specific reports or performing internal tasks that cannot be completed within the cloud services, Microsoft Power Automate is used to seamlessly trigger these processes.
Error Handling and Reporting: The system includes robust error handling mechanisms to manage exceptions and alert the team for manual intervention when necessary. This ensures that any issues are promptly addressed, maintaining the efficiency and reliability of the automation process.This comprehensive solution required a deep understanding of various technologies, including AI and machine learning, and the ability to integrate multiple software platforms (Make.com, OpenAI GPT-4 API, HubSpot, SAP, Microsoft Power Automate, and OCR technology) to create a seamless workflow. The result was a highly efficient, automated system that significantly reduced manual email processing, improved response times, and enhanced overall operational efficiency for the client.
