Background
The client wanted to introduce a brand-new meeting-planner feature on their ecommerce platform to increase their self-service market from just large expo-style event participants to cater to small-to-medium businesses and organizations hosting meetings. Prior to this, clients would rely on time-consuming manual proposals prepared by salespeople, which required personalized knowledge to generate recommendations. The goal was to replace this inefficient process with a streamlined, automated system that would allow users to quickly plan and book meetings with room setups and required equipment.
My Role & Process
Conduct interviews with key stakeholders to better understand the challenges of the manual proposal process and to gather insights on how the new meeting-planner feature could best serve the business goals.
Create wireframes for the meeting-planner feature. These wireframes included an automated system where users could select meeting rooms, choose equipment, and get product recommendations based on their input, without relying on personal sales knowledge. I also designed prototypes to visualize how the user flow would work.
User Research & Testing on the prototypes to validate the concept, usability, and overall functionality. The focus was on ensuring that the meeting-planner was intuitive, easy to navigate, and accurately reflected users' needs when it came to room and equipment selection.
UI Design & Final Implementation After refining the prototype based on user feedback, I designed the final UI for the meeting-planner feature. This included a clean, modern interface with new design sytem to implement the client's brand. The design made it easy for users to quickly generate and customize their meeting equipment, reducing the reliance on manual input.
Results
The client was thrilled with the new meeting-planner feature, which now automates the room booking and equipment selection process. This streamlined workflow replaced the previous time-consuming manual proposals, empowering users to quickly configure their meeting needs. The new feature provides:
A user-friendly interface for selecting meeting rooms, setups, and required equipment.
Automated recommendations based on user preferences, removing the need for emails back and forth with a salesperson.
A significant reduction in time and effort spent on planning, offering a more efficient solution for both the client and their customers.
Ecommerce integration, with meeting equipment added to a cart to reflect the setup needs required by the customer on the day of the meeting
