Context

MRM, a local elevator installation company, primarily operates as a subcontractor for international companies such as KONE and OTIS. The company receives orders via PDF purchase orders sent by email. These orders had to be manually stored and tracked until project completion for billing purposes.

Challenges

The client lacked a systematic approach to saving or tracking these orders and relied heavily on memory. This approach often resulted in forgotten projects and missed billing opportunities.

Solution

We implemented an automation solution using Make.com to retrieve all purchase orders received by email over the past three years. This data was then compared with issued bills from their accounting system to identify any unbilled purchase orders.
Additionally, a dashboard was created to automatically capture new purchase orders from emails, link them to new projects, and manage project workflows efficiently. This dashboard provides an overall view of all projects—upcoming, in-progress, and completed—and ensures no project is left unbilled. It also integrates with the accounting system to track payment status for each billed project.

Outcome

Recovered and billed previously forgotten purchase orders amounting to five figures in euros (€XX,XXX).
Significant improvement in process efficiency and time savings in project management.
Enhanced operational oversight allowed the owner more personal time and facilitated business expansion by 30% the following year.
