PrepLadder | Internal tool for funded startup

PrepLadder's team was using 4 different tools, causing confusion and missed deadlines. We built one simple platform that brought everything together and made work easier to track.

PrepLadder helps medical students prepare for exams with videos, study materials, and practice tests. With over 5 million users, growth led to problems using multiple tools for meetings, work tracking, and performance.

Missed deadlines, lack of visibility, and data loss worsened as the team expanded. They needed a central platform for collaboration.

We discovered that the data was spread out across four different tools. During our workshops, we identified 36 tasks that slowed the teams down, such as copying data between apps.

We listened to each team's needs: Sales wanted instant lead updates, Support needed the customer's ticket history, and Marketing sought easy campaign tracking.

We designed Figma mockups featuring dashboards that let all teams collaborate in one place. After reviewing and gathering feedback from Prepladder, we built the backend using Supabase to link all their scattered data sources, enabling real-time updates for everyone.

For the front end, WeWeb helped us create role-specific dashboards tailored for Sales, Marketing, and Support.

We tested everything three times with their teams before gradually rolling out the new system to each department. We kept the old and new systems running side by side to make sure the transition was smooth and comfortable for everyone.

We built a single platform for PrepLadder’s work, helping teams to track progress, assign tasks, schedule meetings, and monitor goals. The Marketing team has live dashboards for campaign and lead tracking. Sales, Marketing, and Support can share updates instantly, log customer issues, and view real-time alerts. Quick templates help teams respond faster and consistently.
