Transforming a Tattoo Studio into a Business That Runs Itself
Client: Riley Taylor Tattoo Studio, Dubrovnik, Croatia

Overview
Riley Taylor Studio OS
The best businesses often outgrow the systems that got them there. That was exactly the situation at Riley Taylor Tattoo Studio.
Andrea and Fernando had built an outstanding reputation through exceptional tattoo work, word of mouth, and social media. Their calendars stayed full, but every new client added another Instagram or Facebook conversation, another round of repetitive questions, and another manual booking process.
The studio didn't have a marketing problem. It had an operations problem.
Instead of creating another portfolio website, I designed and built a complete digital operating system that improves the experience for both clients and artists while reducing administrative work.
The result is Riley Taylor Studio OS — a platform that combines branding, portfolio management, AI assistance, structured consultations, and studio administration into one cohesive experience.
The Challenge
Tattoo studios usually grow organically. Clients discover artists on Instagram. They send a direct message. They ask about prices. Then styles. Then placement. Then healing. Then available dates. Then they send reference photos. Then they disappear, or return months later asking exactly the same questions.
Every conversation starts from zero.
For artists, this creates constant interruptions throughout the day. Time spent replying to messages is time not spent designing or tattooing. The studio needed a better system without losing its personal approach.
Understanding the Business
Before writing a single line of code, I mapped the entire customer journey.
How do tourists discover tattoo studios in Dubrovnik? What information do local clients actually need? At which points do conversations become repetitive? Where do artists lose the most time?
The answers shaped every feature. Instead of copying what other tattoo studios were doing, the product was built around how Riley Taylor actually works.
Design Philosophy
The goal wasn't simply to make the studio look premium. The digital experience had to feel like walking into the studio itself. The interface uses a restrained palette of black, warm gold, and muted bronze, combined with elegant typography, subtle animations, and carefully balanced spacing.
Nothing feels overly corporate. Nothing feels generic. Every visual decision reinforces the craftsmanship behind the tattoos.

What I Built
Public Website
The website introduces the studio while acting as a practical tool for potential clients. Visitors can immediately understand the studio's identity, discover the artists, browse completed work, read reviews, and begin the consultation process.
Rather than overwhelming visitors, every section guides them naturally toward booking.
Artists
Portfolio Archive
One of the biggest improvements was replacing endless Instagram scrolling with a structured archive. Visitors can browse tattoos by:
Fine Line
Blackwork
Color
Botanical
Custom
Cover-ups
They can also filter work by artist. This helps clients decide whether Andrea or Fernando is the better fit before they ever contact the studio. That alone dramatically improves the quality of incoming enquiries.
Structured Consultation Form
Instead of receiving vague messages like "How much for a tattoo?", the studio now receives structured requests containing:
Placement
Estimated size
Budget
Style
Color preference
Cover-up information
First tattoo indicator
Description of the idea
Reference images
Preferred appointment dates
Artists can immediately evaluate the request instead of spending fifteen messages collecting basic information.
Structured Consultation Form
AI Studio Concierge
One of the most valuable additions is the integrated AI assistant. Rather than functioning as a generic chatbot, it acts as a knowledgeable studio concierge.
It answers common questions about:
Tattoo aftercare
Healing
Studio policies
Preparation
Booking process
Artists
Services
Frequently asked questions
Many repetitive conversations now happen automatically, allowing artists to focus on their work while clients receive instant answers at any time.

Contact & Local Discovery
For a destination city like Dubrovnik, discoverability matters. The platform includes:
Interactive location map
Opening hours
Contact details
Direct phone numbers
Email
Instagram
Facebook
Quick navigation links
Everything a visitor needs is available without searching multiple platforms.
Contact & Local Discovery
Studio OS
The public website is only half of the project. Behind it sits Studio OS — an internal management platform designed specifically for tattoo studios. It centralizes daily operations into one workspace.
Dashboard
The dashboard provides an immediate overview of the business:
Incoming requests
Requests awaiting client response
Approved consultations
Completed work
Weekly activity
Estimated revenue
Instead of searching through social media conversations, artists immediately know what requires attention.
Artist Dashboard
Client Request Management
Every consultation request becomes an organized record. Artists can:
Review ideas
Track status
Approve projects
Request additional information
Schedule appointments
Decline unsuitable work
Each request follows a clear workflow rather than getting buried inside messaging apps.
Appointment Planning
Studio OS keeps appointments organized in one place. Artists can see:
Upcoming sessions
Client information
Placement
Session duration
Scheduling status
This significantly reduces manual coordination.
Performance Tracking
The system also provides simple operational insights. Artists can monitor:
Monthly activity
Completed tattoos
Active requests
Estimated revenue
Workload distribution
Instead of guessing how the business is performing, they have meaningful visibility into daily operations.
Automation
Automation wasn't added for the sake of technology. Every workflow exists to remove repetitive manual work.
The platform automates or streamlines:
Consultation collection
Client qualification
FAQ responses
Booking enquiries
Artist routing
Information gathering
Lead organization
Rather than replacing human interaction, automation ensures artists spend their time where it matters most: creating tattoos.
Results
The biggest improvement wasn't visual, it was operational. Clients now arrive informed, and artists spend less time answering repetitive questions. Consultations begin with complete information.
The studio presents itself professionally from the very first interaction. The business feels larger, more organized, and more trustworthy without becoming less personal.
What This Project Demonstrates
This project combines multiple disciplines into a single product:
Product strategy
UX research
Brand design
Full-stack development
AI integration
Workflow design
Automation
Responsive design
Information architecture
Rather than building another brochure website, I built software around the way the business actually operates.
Reflection
The most rewarding part of this project wasn't shipping a polished interface, it was watching technology quietly disappear into the background.
Clients simply find what they need. Artists simply do their work. The software supports the studio without demanding attention.
That's what good product design should do: technology isn't the product, a better way of working is.
