A conceptual workflow for qualifying inbound leads with AI, then routing each lead to the right CRM and follow-up path. It shows the operating logic I would adapt to a client’s lead sources, qualification criteria, and sales process.
The problem
When enquiries arrive through several channels, teams can lose time reading messages, manually deciding priority, and copying details into a CRM or spreadsheet. This concept turns those repeat steps into a structured flow.
Workflow
Capture a new lead from a form, inbox, webhook, or other source.
Normalize the contact and enquiry data.
Send the relevant details to OpenAI for structured qualification.
Assign a score and category based on the client’s agreed criteria.
Route the lead into the appropriate path, such as Hot, Warm, or Cold.
Create or update the record in a CRM or Google Sheets.
Notify the relevant person or team and trigger the matching follow-up.
What can be customized
Lead sources and field mapping
Qualification questions and scoring rules
CRM, Google Sheets, and webhook integrations
Routing paths and notifications
Follow-up triggers and handoff steps
Tools used
Make, OpenAI, Google Sheets, webhooks, and CRM integrations.
Note
This is a spec concept, not a client case study. The final workflow, criteria, and integrations would be designed around the client’s existing sales process.
