Concept project for a fictional online home-textile store. Every paid order is logged, the customer gets a personal thank-you on WhatsApp and the team is notified, without anyone touching a spreadsheet.
Project overview
Olive & Thread sells on Shopify. In this scenario the owner copies each order into a spreadsheet, writes a thank-you message by hand, looks up the tracking link and then tells the team in chat. About 5 minutes per order.
The challenge
Only real, paid orders should go through. Test orders and duplicates had to be ignored, messages needed to feel personal, and if anything failed the team had to know right away.
The workflow: trigger, clean data, paid check, then the two branches
The solution
Trigger: a new Shopify order starts the flow; data is cleaned (name, phone, items, total)
Paid check: unpaid, test and duplicate orders are skipped
Google Sheets: every order is added as a new row for reporting
Personal thank-you: a short message with the first name, order number and tracking link, sent on WhatsApp
Team alert: a Slack message in #orders, plus an alert if WhatsApp delivery fails
The order sheet and team channel update the moment an order is paid
What the customer sees
A warm WhatsApp message a few seconds after paying, with the tracking link included. The tone rules keep it short, friendly and never pushy.
Customer view and the rules used for the thank-you message
Expected impact
For a store with around 300 orders a month this removes about 5 minutes of manual work per order, roughly 25 hours a month. Real numbers depend on volume.
Manual vs automated, estimated for ~300 orders a month
My contribution
Process mapping and edge cases (unpaid, test, duplicate orders)
Workflow build in n8n, also buildable in Make or Zapier
Message copy and tone rules
Error alerts and run logging
Testing with sample orders and a hand-off guide
Tools: n8n · Shopify · Google Sheets · WhatsApp Business · Slack
Want something like this for your business? Send me a message with what you do today by hand, and I'll suggest the first thing worth automating.

Paid orders logged to Google Sheets, a personal WhatsApp thank-you for every customer and a Slack alert for the team, all in under 5 seconds.
