AI Reporting Workflow: Raw Data In, Finished Reports Out

A business was running its daily numbers through spreadsheets. The data existed, but it was scattered, unformatted and slow to turn into anything a manager could read.

The Problem

Daily data arrived in every form: typed notes, loose numbers, photos of handwritten invoices.
Before anyone could read it, someone had to sort it, clean it and format it into a report by hand.
Managers and the owner had to wait for that work, or dig through spreadsheets themselves.

The Solution

A custom CRM became the one place to drop data, and I built the workflow that runs behind it. Staff paste whatever they have, unformatted. The workflow does the rest.

HOW DOES IT WORK?

Two AI Agents do the work

The first AI agent reads the dump and works out what belongs where: HR, company expenses, employee performance and so on. It writes one file per section for that date.
The second AI agent takes those files and analyzes them against a set of instructions written once. It produces a formatted HTML report for each section, with the evidence laid out in readable sheets next to it.

Reports on requests

Nobody opens a spreadsheet to find a report. A manager types "give me the HR report for 17 August" into the CRM chat and gets it. The owner can ask for the full company report for the same day.

Results

Staff paste raw data once a day and move on. No sorting or formatting.
Every report comes with its evidence, so the numbers can be traced back to what was pasted.
Managers and the owner get any report by section and date, by typing one line.
The sorting, analysis and formatting that used to be done by hand now runs on its own.
