My client approached me with a vision to simplify workforce management for their growing business. I designed TeamSphere, an HR and employee management platform that streamlined operations and fostered stronger communication between their teams. This case study highlights the journey of transforming their challenges into a seamless, user-centric solution.

The Problem

As my client scaled their business, they encountered several challenges:
Disjointed systems: Employee data, leave requests, and payroll information were spread across multiple platforms, leading to inefficiencies.
Manual processes: Onboarding, performance reviews, and attendance tracking required significant manual effort.
Low engagement: Employees lacked a centralized platform to stay updated and provide feedback, impacting morale.

The Goal

To address these issues, my client sought a platform that would:
Unify employee management: Consolidate data, leave requests, and payroll into a single system.
Automate workflows: Reduce manual effort for HR tasks like onboarding and attendance tracking.
Enhance engagement: Foster a sense of connection through better communication and recognition tools.

Research & Insights

I collaborated closely with my client's HR team and employees, conducting interviews to uncover key pain points:
"We need a system everyone can use." Ease of use was critical for tech-savvy and non-tech-savvy employees alike.
"Approvals are a bottleneck." Delays in handling leave requests and task approvals frustrated employees.
"We feel disconnected." Employees wanted visibility into company updates and recognition for their efforts.
These insights shaped the foundation of the platform, ensuring it addressed the needs of all stakeholders.

The Design Process

Empathy-Driven Personas
Two personas guided the design:
HR Manager Persona: Focused on efficiency, data management, and task automation.
Employee Persona: Sought clarity, engagement, and intuitive navigation.
Wireframes
I developed wireframes for two dashboards:
HR Dashboard: Featured key metrics like pending approvals, payroll summaries, and performance overviews.
Employee Dashboard: Showcased leave balances, team announcements, and a recognition board.
Prototyping & Feedback
With Figma, I built an interactive prototype and iteratively refined it based on feedback from my client's team:
Overview & Customization: Added dashboard overview and widgets users could personalize.
Notifications: Introduced a notification bell with actionable updates to improve visibility.

Overcoming Challenges

Complexity vs. Simplicity: Balancing advanced features for HR with a straightforward experience for employees required careful design layering.
Data Security: Robust authentication and encryption were implemented to safeguard sensitive employee information.

Impact of TeamSphere

After launching TeamSphere, my client shared their success:
Time Savings: The HR team saved over 10 hours weekly by automating manual tasks.
