Challenge: The company's ATS software required some cleanup and restructuring because of ineffective utilization. That left the recruiters with no ATS to use for resume submission and notes storage.

My solution: I developed an Applicant Tracking System (ATS) on Notion for recruiters to submit candidate resumes. This ATS facilitates easy resume submission, note-taking, space for feedback, efficient resume review, and tracking candidate progress. It is also linked to each recruiter's Key Performance Indicator (KPI) and review database.

Anatomy of the resume submission page:

  1. Quick Link: This feature has been added to provide the recruitment team with prompt and convenient access to the walkthrough of this ATS. It contains links that lead to a thorough guide on how to submit resumes and a knowledge base. The guide offers a detailed walkthrough, guiding recruiters through the process of submitting resumes effectively.
  2. "Add a resume" button: This button was added to reduce the chances of unintentional alterations to the database structure. This feature was necessary because there were team members who are still becoming familiar with the Notion platform.
  3. Hiring Managers' Ranking View: This is a specialized view created exclusively for hiring managers, with the aim to streamline the resume review process and reduce the clutter. This view displays only the resumes that need to be reviewed by the hiring managers, enabling them to focus strictly on their specific tasks and responsibilities. This feature significantly enhances the efficiency of the review process.
  4. Different Database Views: The ATS tool has been designed with a strong emphasis on adaptability. It offers a variety of views, utilizing filters to cater to diverse user needs and preferences. This feature allows both recruiters and hiring managers to personalize their view according to their role. The result is a highly efficient, personalized tool that enhances overall productivity.
  5. Table View Grouped by Role: This feature plays a crucial role in tracking the number of resumes submitted for each job role. It enables managers and recruiters to quickly identify the volume of candidates applying for each role. This not only facilitates smoother allocation of resources but also aids in task prioritization, making the overall recruitment process more efficient and manageable.
