Bite Club CRM – Meal Delivery Operations & Subscription Platform

Overview

Bite Club CRM is a full-stack operations platform built for a subscription-based meal delivery business. I designed and developed the system to bring the company’s core workflows—customers, weekly menus, kitchen preparation, grocery planning, deliveries, communications, and subscriptions—into one centralized platform.
The CRM supports the entire weekly meal-delivery cycle, from customers choosing their meals to the kitchen preparing orders and drivers completing deliveries.

The Challenge

Running a recurring meal delivery service involves several connected workflows. Customer subscriptions determine weekly orders, orders affect ingredient quantities and kitchen preparation, and completed meals must then be organized into efficient delivery routes.
Managing these processes separately creates unnecessary manual work and increases the possibility of operational mistakes.
The goal was to create a single system where the Bite Club team could manage the entire operation while giving customers and drivers simple experiences tailored to their needs.

What I Built

1. Subscription & Customer Management

I built centralized tools for managing customers, meal plans, subscriptions, and weekly orders.
The system connects subscription information with menu selections so the operations team can quickly understand what needs to be prepared each week.

2. Weekly Menu Selection

I developed a customer-facing menu experience where subscribers can select meals for their upcoming delivery.
The system automatically determines the appropriate delivery week and supports scheduled menu availability and cutoff rules.
I also created short customer-specific menu links, making it easier to send clean, accessible links through email and SMS.

3. Automated Customer Communications

I implemented automated communication workflows for weekly menu reminders and other customer notifications.
SMS notifications through Twilio
Email communications through Resend
Customer-specific menu links
Scheduled menu reminders
Communication tracking within the CRM
This reduced the amount of manual customer follow-up required each week.

4. Kitchen & Grocery Workflows

I built operational tools that transform customer orders into information the kitchen can immediately use.
Weekly orders are consolidated into preparation totals and grocery requirements, helping the team understand how much food needs to be purchased and prepared.
The system includes:
Automated weekly grocery lists
Recipe and ingredient management
Kitchen preparation totals
Packing workflows
Weekly order summaries
Printable kitchen and packing views
This connects customer selections directly to kitchen operations instead of requiring the team to manually calculate weekly requirements.

5. Delivery Management & Route Planning

I developed a dedicated delivery workflow for assigning orders to drivers and organizing weekly routes.
The system supports:
Driver-specific delivery assignments
Automated delivery allocation
Route optimization
Map-based route visualization
Driver delivery dashboards
Printable driver lists
Delivery status tracking
Drivers receive a simplified view of the information they need while administrators can manage the complete delivery operation from the CRM.

6. Analytics & Business Insights

I created dashboards that give the team visibility into important operational and business metrics.
These include customer signups, weekly activity, menu popularity, order trends, and revenue-related insights.
This allows the team to understand both day-to-day operations and broader performance from the same platform.

7. Role-Based & Mobile-Friendly Access

I implemented role-based access for administrators and drivers so each user sees the tools relevant to their responsibilities.
I also added Progressive Web App (PWA) support, allowing the CRM to work more naturally on mobile devices—particularly for drivers using the platform while completing deliveries.

The Result

Bite Club CRM brought several previously separate parts of the meal-delivery operation into one connected workflow:
Subscriptions → Weekly Menus → Customer Orders → Grocery Planning → Kitchen Preparation → Packing → Driver Assignment → Delivery
The platform reduced repetitive operational work, gave the team better visibility into each delivery week, and created dedicated experiences for customers, administrators, kitchen operations, and drivers.
It also established a system that could continue evolving alongside the business rather than relying on disconnected tools and manual processes.
