Most automations look brilliant on Day 1.
That's easy.
The real question is:
Will they still work when the business doubles?
A client recently asked for what seemed like a straightforward setup.
Two subscription plans.
Standard customers receive a Standard sub-account.
Premium customers receive a Premium sub-account.
Simple.
Until reality happens.
A Standard customer upgrades.
A form gets submitted twice.
An old customer comes back.
The business grows from 10 customers to 100.
And that's usually where many "working" automations quietly start becoming liabilities.
Duplicate contacts appear.
Additional sub-accounts get provisioned.
Onboarding sequences fire multiple times.
Teams jump in to manually clean up records.
Clients lose confidence.
And sometimes businesses lose customers worth thousands of dollars because their backend wasn't designed to handle tomorrow's scenarios.
I don't build automations assuming everything will go perfectly.
I intentionally test for the situations most people never think about.
• What happens if someone upgrades?
• What if they downgrade later?
• What if they submit the form twice?
• What if there are 500 customers instead of 50?
• What happens when the business scales faster than expected?
For this project, I designed the workflow to understand customer state before making decisions.
If someone already exists on Standard and upgrades to Premium:
✓ No duplicate contact
✓ No duplicate sub-account
✓ No repeated onboarding
✓ Existing assets transition intelligently
✓ Premium configurations replace Standard automatically
If it's a brand-new Premium customer, the system provisions everything from scratch.
No manual intervention.
No operational debt.
No future cleanup.
Because I don't believe businesses pay more simply for automation.
People pay premium prices for the same reason they buy trusted brands.
Not because they're purchasing features.
Because they're purchasing confidence.
Confidence that the system they invest in today won't become the reason they lose customers tomorrow.
That's how I approach automation.
Not as workflows.
But as infrastructure designed to remain reliable long after growth arrives.
