Freelance designers coordinating print orders: check whether the supplier's quote is still valid when the client says yes.
A new fictional example: a printer's quote is valid through Friday. The client's go-ahead arrives Monday, and no order has been placed.
Before handing the order to the buyer: • Ask the printer for a refreshed quote or dated confirmation of current terms, including how long they remain valid • Recheck the quantity, specification and full delivered cost • Confirm the lead time and what starts its clock • Put the current quote before the authorized buyer, with any price or timing change clearly flagged
Keep the original quote beside the updated confirmation. Record quote expiry separately from lead time so the approval delay doesn't quietly become an assumption about price or delivery.
Shown: the complete Capture a source checked quote page from the Vendor Comparison and Purchase Planning Kit. It has separate prompts for quote validity, costs, delivery and terms. The Friday-to-Monday scenario above is an additional illustration.
The five-file ZIP includes an editable Word packet, Excel comparison tracker, print PDF, fictional example and Quick Start. Use one identical item or purchase lot, one quantity and one currency. Designed for Word and Excel; PDFs are static. Source checks and purchase approval remain manual.
