Built a fully automated appointment booking system using Zapier that connects Calendly, Zoom, Google Calendar, and Gmail — so every booked meeting is scheduled, added to the calendar, and confirmed via email instantly.
ABOUT THE PROJECT
Manually scheduling meetings, creating Zoom links, updating calendars, and sending confirmation emails wastes valuable time. This project automates the entire booking flow — from the moment a client picks a time to the confirmation landing in their inbox.
THE CHALLENGE
The client needed to eliminate the manual work of:
Creating Zoom links for every meeting
Adding events to Google Calendar
Sending confirmation emails to clients
Keeping everything in sync without mistakes
HOW I BUILT IT
I built an automated Zap that connects 4 tools into one smooth workflow:
Calendly Trigger — activates when a client books a Discovery Call
Zoom — automatically creates a unique meeting link
Google Calendar — adds a detailed event with meeting info
Gmail — sends a personalized confirmation email with the Zoom link
Everything happens instantly, with zero manual work.
