Do you answer phones?
No. I manage guest communication through email or messaging channels.
Do I need a specific PMS?
Any cloud-based PMS works.
Can you correct existing ledger or OTA discrepancies?
Yes. I can clean up misposted payments, virtual card errors, and ongoing revenue alignment issues.
Do you replace an on-site front desk?
No. I maintain the operational and financial layer so on-site staff can focus on guests.
Do you need to be onsite to close the payment terminal?
If your property uses a countertop Moneris or other non-integrated terminal, your onsite staff will continue running the daily batch close at your existing cutoff time. Once the batch report and end-of-day PMS snapshot are available, I complete the night audit, reconciliation, and documentation remotely. If your PMS uses an integrated payment processor or your terminal is set to auto-batch, I can perform the full close remotely.
What level of system access do you need?
View + posting access in the PMS and payment reporting dashboards (e.g., VCC retrieval, refund verification). I do not require administrator privileges. If your property uses role-based permissions, I operate under the standard Night Auditor role.
When do you complete the audit?
I complete the audit after your end-of-day roll and payment terminal batch close. This typically aligns with overnight hours or early morning, depending on your property’s timing. The morning summary and reconciliation log are delivered before staff begin the day shift.
Do you work with properties outside Canada?
Not at this time. I currently work exclusively with Canada-based boutique hotels, inns, lodges, and B&Bs.

Daily PMS & Payment Reconciliation
I reconcile room revenue, taxes, fees, and payment tenders against PMS activity and merchant batch records. This includes correcting misapplied payments, resolving virtual card vs. guest card errors, documenting adjustments, and confirming the ledger closes cleanly for the next business day.
Guest Communication & Pre-Arrival Coordination
Professional, consistent guest communication via email or messaging platform. I handle pre-arrival instructions, access/parking details, stay confirmations, late arrivals, and basic service questions in a tone that preserves guest satisfaction and prevents escalations.
OTA & Booking Source Alignment
I monitor and maintain rate and availability integrity across booking channels. This includes confirming virtual card details, processing cancellations/modifications correctly, and ensuring PMS, OTA extranets, and direct-booking data stay aligned to prevent revenue leakage.
