FAQs
Why is the Diagnostic mandatory? Can’t we just start the build?
I don’t build on top of mystery foundations. Jumping straight into a tool setup without knowing where the structural fractures are is how agencies end up with "expensive software that no one uses." The Diagnostic ensures that when we do build, we are fixing the right problems in the right sequence.
How much of my team’s time will this require?
The Diagnostic is high-intensity but low-volume. I need 90 minutes with the Founder/Ops Lead and potentially 20–30 minutes with 1–2 key team members to see how they actually behave in your current system. My goal is to observe the "Chaos," not contribute to it.
Are you going to change anything in my current tools during the audit?
No. This is a passive, "read-only" phase. I gain access to observe your data flow and "Shadow Work" from the outside. Nothing is touched, moved, or deleted until we agree on the Red Line Prescription.
What if I already have a Project Manager or Ops Lead?
A PM manages the work; I architect the infrastructure the work runs on. If your system is leaking margin, your PM is likely working twice as hard to get half as far. I provide the structural support they need to actually do the job you hired them for.
What happens after I receive the Diagnostic?
The logic is yours to keep. You will have a clear blueprint of your "Good Foundations" and your "Bottlenecks." You can choose to have your team execute the fix based on my plan, or you can authorize me to handle the Full Reconstruction.
How does the 50% credit work?
If we determine that your agency is a candidate for a Full Structural Reconstruction and you choose to move forward within 30 days, 50% of the Diagnostic fee is credited toward the build. We’ve already done the heavy lifting of discovery; you shouldn’t have to pay for that stage twice.
Do you only work with specific tools like Notion or ClickUp?
I am tool-agnostic. I focus on the Logic first. If your current tool is the right "pillar" for your foundation, we keep it. If the tool itself is causing the "rot," I’ll recommend a replacement. I build for structural integrity, not for software trends.
Is my agency data and client confidentiality safe?
Absolutely. As a systems architect, I treat your infrastructure with the same professional discretion you treat your clients' brands. I’m here to audit the structure, not the content. Read-Only Observation: I only request "Observer" or "Guest" access. I am there to map the movement of data and the behavior of your team, not to download your sensitive files or read your private client briefs. Process over Content: My focus is on how a task moves through your pipeline, not the specifics of what that task is. I look at the "pipes," not the "water" flowing through them. NDA-Ready: I am happy to sign your standard Non-Disclosure Agreement (NDA) or provide my own before we begin the Diagnostic. Zero-Storage Policy: I don't store your internal data on my own servers. My findings are compiled into your Reality Report, which belongs to you. Once the Diagnostic is complete, you can revoke my access immediately.
What's included
The 90-Minute Systems Deep-Dive
A high-intensity session with the founder and key team members. We don’t just talk about "process"; we observe behavior. I interview your team to see where the manual workarounds live and where the "Shadow Work" is actually happening.
Passive Operational Observation
I gain "read-only" access to your current tech stack (Notion, ClickUp, Slack, etc.). I am not there to change anything yet—I am there to see how data flows and where tasks go to die. This is an objective look at the truth of your delivery.
The Agency Reality Report
A blunt summary of your current operational performance. I identify the "Good Foundations" (what you should keep) and the "Structural Cracks" (what is failing). This gives you total clarity on how your agency actually operates today.
The Friction & Bottleneck Map
A visual schematic of your workflow. I map out the exact points where your creative work gets stuck, where communication loops break, and where your profit margins are leaking due to inefficiency.
The "Red Line" Prescription
The architectural logic for the fix. This is your "Prescription"—a detailed plan of the systems, automations, and structural changes needed to heal the friction. You get the logic of the solution before we touch a single tool.
The Structural Risk Assessment
A breakdown of the risks ahead. I show you what it will cost you to stay in "Chaos Mode," the impact of hiring the wrong people to fix a broken system, and the billable revenue you are losing by delaying the intervention.
