A 20-step Zap with no error handling was costing a product studio 45 to 60 minutes per launch. Rebuilt properly, the same launch now takes under 30 seconds. That is the difference between a Zap that works on Tuesday and one that holds all year.

Zapier is the right tool for most businesses: the largest app catalogue, fast to build, easy for your team to read. Where it fails is quietly. A Zap runs for a month, a field changes upstream, a step errors, and the task history fills with red while nobody is watching. I build Zaps the way I build everything else: with paths for the failure cases, alerts when something stops, and a written handover.

A mapped workflow before anything is built: trigger, every action, the data each step needs and every point that can fail

Zaps built with Paths, Filters and Formatter steps so edge cases are handled instead of erroring

Error notifications routed to Slack or email with the failed record attached, so a stopped Zap never goes unnoticed

Zapier Tables and Interfaces where you need a small CRM or a review queue without another subscription

AI steps (ChatGPT, Claude) placed only where they earn their keep: classification, drafting, extraction

A task-usage estimate before you commit, so your Zapier plan matches your volume

Documentation and a live handover, on a Zapier account you own

Teams on Zapier who want it done right the first time, or who already run Zaps that break and want them rebuilt. Lead routing, CRM updates, order and invoice flows, onboarding, notifications, reporting.

Short mapping call, fixed number before any work starts, working Zaps in the first week. Clear comms, honest timelines, NDA on request.
