Supplier invoices arrive as PDFs in an inbox, and someone types them into a spreadsheet or the accounts. It takes hours, and every typo goes straight into the books.
What I build: A pipeline that watches the inbox you point it at and uses AI to pull the supplier and every line from each invoice. Before anything is booked, it checks that the lines add up to the printed total. Clean invoices land as rows in your sheet, database or accounting tool. Anything that doesn't reconcile or reads badly goes to a review queue for a person to confirm, so nothing is guessed silently.
What $290 covers: One inbox, one family of invoice layouts and one destination, such as a Google Sheet, Airtable, a database or an accounting tool with an API. It is built and tested within a week. More sources or document types are quoted separately. Optional ongoing processing is available at $75/month once the pipeline is live.
What I need from you: Inbox access or a forwarding address, plus write access to the destination. I also need 20 to 30 past invoices, including a few messy ones.
How we check it: Your past invoices run through the pipeline before go-live. For each one you see whether it was booked or sent for review, and why. I sign the pipeline off only after that, and I stay on for the first live batch to catch edge cases.
Read-only where it counts: The pipeline reads documents and writes rows. It does not pay invoices, move money or change existing records.
Proof: I built this pattern for BakeryOS, my own bakery operations app, and tested it against a set of 25 invoices before switching it on. The cover shows my n8n version of the same pipeline, walked through at fractionalhq.uk/use-cases/invoice-data-entry.
