From notebook to one screen: building a café’s billing and back-office system

Overview
I designed and built a custom desktop CRM and point-of-sale system for Thirst Trap Café. It handles the café’s daily operations: taking orders, billing, managing the menu, tracking customers and credit accounts, reconciling the cash drawer, and reporting on sales. It’s all in one warm, easy-to-scan interface.
Tools: VS Code, Flutter, SQLite
The Problem
Before this, the café [how they tracked orders, e.g. paper bills, a generic billing app, or spreadsheets]. That meant [pain points, e.g. slow billing at peak hours, no clear view of daily sales, credit customers tracked by memory, cash mismatches at close]. They needed a tool built around how a café actually runs, not a one-size-fits-all POS.

The Goal

Make taking and billing an order fast enough for a rush
Give the owner a clear picture of sales, expenses, and money owed
Keep data safe even if the computer fails
Keep the interface simple enough for staff to learn without training

Design Decisions

Warm coffee-brown and cream palette that matches the café’s brand and is easy on the eyes during long shifts
Color-coded status (green for paid/available, red for cancelled/sold out, amber for active) so state is readable at a glance
One-screen ordering to cut the clicks between a customer’s request and a printed bill
Large tap targets and a persistent sidebar for navigation

Results

Used daily by the café
Billing time reduced
